The nature of our business often requires us to manage and store keys and other sensitive information, such as, customer’s security entry codes and credit card details. Policies regarding sensitive information are as follows:- StaffWe do not employ staff with criminal records or with bad character references. All staff must successfully pass a Police Record and in depth character reference checks prior to being employed. KeysWe never mark keys or key tags with our customer’s addresses or surnames on them. Keys are not stored or left in company vehicles overnight and are locked in our secure storage facility, when not in use. Any point of access is locked and checked prior to technicians vacating a customer’s site. |
Security entry codesProperty security entry codes are electronically stored on hand held PDA’s, which are user password protected. These devices are synchronised daily with our main computer system and all sensitive customer details are stored in our customer database application, which is encrypted and password protected. As with keys, any point of access is locked and checked prior to technicians vacating a customer’s site. Credit Card DetailsCredit card details are stored electronically in our accounting system, which is encrypted and password protected. Signed credit card payment authorisation forms are stored in a private secured area. The only staff that have access to our customer’s credit card details are company directors, senior managers and accountants. Only company directors and senior managers are authorised to obtain credit card details from our customers. Customer’s Personal InformationOur customer’s sensitive and non sensitive personal information are kept electronically in our customer database application and in our accounting system. The electronic files are encrypted and password protected. Only non sensitive information is kept as a hard copy on file. This information is always stored in a secure area. |
